NOTE: Throughout this documentation, Hancock Soccer Association may be referred to as HSA, Findlay Soccer Club may be referred to as FSC, and the Hancock Soccer Association website may be referred to as the HSA website.

A major concern on people's minds is privacy on the Internet. Hancock Soccer Association respects your privacy and is committed to protecting it.

All information collected at any time throughout this website, obtained through forms or email, shall be kept strictly confidential.

Any information collected that is no longer needed, such as through feedback or support, is permanently deleted from our records. Such information will never be sold, rented, or given to anyone from our organization or to third parties.

Any personal information you provide to us including and similar to your name, address, telephone number, email address, and any other type of data will not be released, sold, or rented to any entities or individuals outside of Hancock Soccer Association - except as noted below:

1. Personal information (as required) may be released to soccer leagues, state and national soccer associations, and/or insurance carriers.

2. Personal information (as required) may be released to these key organizations:

Northwest Ohio Youth Soccer League (NWOYSL)
Ohio Youth Soccer Association North (OYSAN)
OYSAN State League
United States Youth Soccer Association (USYSA)
United States Soccer Federation (USSF)
Federation Internationale de Football Association (FIFA)
Any insurance carriers of these named entities

3. Personal information collected by use of any on-line registrations will be saved on secure servers of the agent that HSA and FSC may contract for on-line registration purposes. Entities to which HSA or FSC contracts for these types of services will not release any personal information saved on their servers to any other third parties.

HSA and FSC will only share your information with outside parties in ways that are described in this privacy statement. We may also do so if we are required to by law, or in the good-faith belief that such action is necessary in order to conform to the edicts of the law, cooperate with law enforcement agencies, or comply with a legal process served on our website.

Information Collected and How It Is Used

Contact With Us

We use email links located on many pages of the HSA website to allow you to contact us directly with any questions or comments you may have. We read every message sent in and try to reply promptly to every one. This information is used to respond directly to your questions or comments. We may also file your comments and/or email address to improve the website and program, or review and discard the information. If any personal information you submit needs to be shared with third parties, we will do so only with your explicit permission.

Credit Card and Other Private Details

HSA and FSC will never ask for Credit Card details or other "private" details (e.g.: social security numbers, birth certificates, photographs, etc) through this website. We request that you do not enter such information on any of the on-line forms on the HSA website. We also request that you not disclose such information in any emails that you may send to any HSA website email contacts.

In the event that website visitors utilize any on-line registration utilities for the purpose of paying registration fees by credit card, the credit card information collected will be stored on secure servers of the agent HSA or FSC contracts for such purposes. Credit card information will not be released to any other third party entities.

In the event that website visitors utilize any on-line registration utilities for the purpose of registering to play on-line, copies of birth certificates and player photographs may be required to be uploaded to the registration database. These items may be required for the purposes of age validation and player passes generation. This information will be stored on secure servers of the agent HSA or FSC contracts for such purposes. This type of information will not be released to any other third party entities.

HSA and FSC will ensure that any third party contracted agents will utilize secure servers and other security methods for the purposes of safely and securely submitting data and information.

External Websites

For our visitor's convenience, we provide links to soccer-related websites and other websites external to the HSA website. We encourage you to visit these websites to learn more about the sport of soccer. However, HSA and FSC is not responsible for the content of any of these external Internet websites. You are advised to read the privacy policy of external websites before disclosing any personal information.

Cookies and Logged Files

A "cookie" is a small data text file that is placed in your browser and allows the HSA website to recognize you each time you visit this website. Cookies themselves do not contain any personal information, and the HSA website does not use cookies to collect personal information. Third party content providers such as our webserver host provider may also use cookies. We use cookies to record user-specific information (e.g.: what pages visitors access or browse, what operating system platform is being used, what browser is being used, etc) and to record past activity at the website. This information is collected in order to provide better service when visitors return to our website and for website administrative purposes.

The HSA website logs IP addresses and browser types along with aggregate information on what pages users access or visit for systems administration purposes. These logs will be analyzed to improve the value of the materials available on the website. A user's session will be tracked, but the user will be anonymous. We do not link IP addresses to any personally identifiable information or email addresses.

Downloads from our website produce log files, which contain a visitor's IP address, browser version and date. This information is collected for our own use, and is never shared with anyone outside of our organization.

The information we collect is used for internal review and is then discarded, used to improve the content of our website pages, used to notify visitors about updates to our website, and is not shared with other organizations for commercial purposes.

The HSA website uses Google Analytics to analyse the use of our website. Google Analytics generates statistical and other information about website use by means of cookies, which are stored on users' computers. The information generated relating to our website is used to create reports about the use of the website. Google will store and use this information. With Respect to Ad Servers

We currently do not partner with or have special relationships with any ad server companies. However, the HSA website may have advertisements and/or links on our web pages for third party companies that offer soccer related services and products. Hancock Soccer Association assumes no liability with regard to transactions visitors may make with these third party companies. These third parties have separate data and privacy practices independent of us, and therefore we disclaim any responsibility or liability for their policies or actions. Choice/Opt-Out

The registered HSA membership may receive email newsletters and announcements from our organization. The agent that we subcontract with for maintaining our registered membership email database and management of our mail outs will utilize secure servers and other security methods to insure the safety and security of our memberships data. HSA and FSC will not distribute addresses and names collected and stored in the mail list database to any third party.

Any of our registered membership may request to not receive emails from us at any time by contacting the HSA President.

How to Access and Update User Information

Upon request we provide website visitors with access to all information [including proprietary information] that we maintain about them, communications that the visitor has directed to our website (e.g.: emails, inquiries), contact information (e.g.: name, address, phone number) that we maintain about them, and/or a description of information that we maintain about them.

Reasonable access to personally identifiable information will be provided within 30 days at no cost to the user. If access cannot be provided within that time frame, HSA and FSC will provide the user a date when the information will be provided. If for some reason access is denied, HSA and FSC will provide an explanation as why access has been denied.

The HSA website will make use of secure servers, secure web pages, or encrypted transmission of data when deemed appropriate to do so in order to protect our site visitors private information. However, during transmit and receive operations (email, forms, etc), we are not liable for the safety and/or confidentiality of any personal information voluntarily submitted to us electronically.

Protecting your privacy and your information is a top priority with HSA and FSC. We have taken careful measures to prevent the loss, misuse, and alteration of your information. All HSA Board Members and key personnel are aware of our privacy and security policies. Your information is only accessible to those HSA Board Members and key personnel who need it in order to perform their jobs.

We have appropriate security measures in place in our physical facilities to protect against the loss, misuse or alteration of information that we have collected from you at our website.

HSA and FSC will only contract with third party vendors that provide secure servers for the means of on-line registrations, email list management, and such.

We do maintain an email address database. This email address data base is used for sending newsletters and mass mail outs to our registered membership. The email list database is stored on secure servers of the service provider we have subcontracted with. Addresses and personal information in this database will not be released, sold, or rented to any entities or individuals.

Notification of Changes

From time to time, we may use user's information for new, unanticipated uses not previously disclosed in our privacy policy. If our information practices change at some time in the future we will post the policy changes to our website to notify you of these changes and provide you with the ability to opt out of these new uses. If you are concerned about how your information is used, you should check back at our website periodically.
